PRIVACY POLICY

Agreement to these policies is captured via signed Airtable form submission at the time of onboarding.

Expat Bloom Camps Inc. ("EBC") is committed to protecting the privacy and security of personal information collected from all individuals associated with EBC programs. This policy applies to participants (campers), featured influencers, camp counselors, community architects, and any other contractors or partners engaged with EBC.

1. Information We Collect

EBC may collect the following types of personal and sensitive information:

  • Contact Information: Full name, phone number, email address, mailing address.

  • Identification Data: Date of birth, government-issued ID, or passport information for verification.

  • Health and Safety Information: Relevant health details (e.g., allergies, medical conditions, dietary restrictions) provided voluntarily to ensure safety during camp activities.

  • Emergency Contacts: Names, phone numbers, and relationships of individuals to be contacted in case of emergency.

  • Travel Information: Flight details, visa status, accommodation preferences, and arrival/departure information.

  • Digital Information: IP addresses, usage logs, and cookies when interacting with EBC websites, forms, or platforms.

  • Media and Likeness: Photos, videos, voice recordings, and other media captured during camp participation.

  • Professional Information (contractors): Platform data, audience demographics, engagement metrics, and partnership history collected from influencers during the vetting and onboarding process.

2. Why We Collect Your Information

  • Ensure participant and team safety, well-being, and preparedness during all camp activities.

  • Facilitate camp experiences, including accommodation, meals, activities, and scheduling.

  • Maintain compliance with legal and operational requirements.

  • Communicate essential updates, safety guidelines, and camp-related information.

  • Personalize experiences based on health, dietary, and activity preferences.

  • Promote EBC programs responsibly through media, with prior consent as outlined in the Media Release.

  • Evaluate influencer partnership fit and manage ongoing partnership performance.

3. How We Use and Share Your Information

EBC will not sell, rent, or lease your personal information. We may use your information for:

  • Providing logistical support for travel, accommodations, and meals.

  • Coordinating emergency care and safety procedures if needed.

  • Contacting emergency contacts when necessary.

  • Sharing limited information (e.g., name, dietary needs, emergency contacts) with camp counselors and local partners as needed.

Influencer Camp Participants

Applies to: Campers enrolled in an influencer-hosted camp

In influencer camp contexts, participant name and limited profile information (dietary needs, activity preferences, content comfort level) may be shared with the featured influencer for the purposes of safety, screening, and activity coordination. This information is shared solely to support the camp experience and may not be used by the influencer for any other purpose.

Contractors (Camp Counselors, Community Architects, and others)

Applies to: Camp counselors and community architects

Contractor information, including contact details, travel information, and performance data, is used for scheduling, compensation, and operational management. Contractor data is not shared publicly.

4. Third-Party Services

EBC may share necessary data with trusted third-party partners, including accommodation providers, transportation companies, visa processing partners, medical professionals in case of emergencies, and secure cloud storage and logistics systems. All third-party partners are contractually obligated to maintain strict confidentiality and comply with applicable data protection laws.

5. Security of Your Information

  • Encryption: Sensitive data is encrypted during transmission and storage.

  • Limited Access: Only authorized EBC leadership, counselors, and local providers have access to relevant information.

  • Secure Systems: Data is stored on secure servers with safeguards to prevent unauthorized access.

6. Retention of Your Information

  • Health and Safety Data: Retained only for the duration of camp participation unless otherwise required for medical documentation.

  • Travel Information: Deleted following the conclusion of the camp program.

  • Emergency Contacts: Retained until the program is completed unless updates are requested.

  • Media and Likeness: Retained and used as outlined in the Media Release.

  • Contractor and Influencer Data: Retained for the duration of the active partnership and for a reasonable period thereafter for legal and operational purposes.

7. Your Rights and Choices

  • Access: Request a copy of your personal data held by EBC.

  • Correction: Update or correct any inaccurate information.

  • Deletion: Request deletion of personal information no longer needed for legal or operational purposes.

  • Withdrawal of Consent: Withdraw consent for non-essential uses of your data (e.g., media usage) at any time.

8. Revocation of Consent

If you wish to revoke consent for any specific use of your information (e.g., photography or media involving your likeness), notify us in writing. EBC will evaluate requests on a case-by-case basis. Media already shared publicly may not always be removable.

EBC reserves the right to update this Privacy Policy at any time. Updates will be communicated via email or direct communication.
